Only the information needed for the task should be provided. Unnecessary personal or confidential details should be left out where practical.

Communications, documents and figures can be compared with source information and previous work, with anything incomplete, inconsistent or unexpected highlighted for review.

Will AI communicate directly with my customers?

Not automatically as part of every solution. In my own processes, customer-facing communications are generally reviewed before they are sent. If automated routine replies are being considered, the level of control and the risks should be agreed around the needs of your business.

Is everything produced by AI checked?

The appropriate checks depend on the task and the consequences of an error. Important communications, figures and decisions should have proportionate human oversight rather than being accepted simply because a system produced them.

How is business information handled?

The general approach is to use only the information necessary for the task and, where practical, exclude unnecessary personal or confidential details. The precise approach depends on your existing records, tools and requirements, so information handling should be considered when designing the process.
